STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Language: Fluency (level C) in English and Swahili language.

Experience: Minimum 6 years of experience in the related functional area.

JOB PURPOSE

To facilitate effective delivery and maintenance of client-focused, value-for-money-oriented quality administrative practices. The Administration Associate, under the overall guidance and direct supervision of the Head of Common Back Office (CBO), plays a key role.

KEY ACCOUNTABILITIES (not all-inclusive)

The Administration Associate is tasked with:

  • Ensuring proper resource requirements, with a focus on meetings and conferences, to enhance efficiency and cost-effectiveness of operations and services.
  • Managing provision of meetings and conferences services, reporting issues to the supervisor for consistent and timely delivery of services to CBO clients.
  • Providing various data and preparing reports to contribute accurate information for decision-making and support effective and timely management of CBO resources.
  • Contributing to planning, monitoring, and processing administrative actions related to CBO meetings and conference requests to ensure accurate and timely recording, processing in CBO systems, and addressing operational issues.
  • Adapting and updating administrative processes, supporting the implementation of operating procedures, for continuous improvement of meeting and conference services in the area of responsibility.
  • Addressing queries related to meetings and conferences services to support the resolution of daily issues.
  • Facilitating the maintenance of the right internal and external contacts, supporting partnerships and activities with vendors and CBO clients in the area of responsibility.
  • Managing updated databases of catering service providers and hotels to ensure accurate and organized information is available and supports reporting requirements.
  • Coordinating the activities of a team of staff working in the area to ensure individual and team objectives are met in compliance with relevant regulations, policies, and procedures, and performance plans.
  • Providing training and guidance to staff on interpretation of administrative procedures, policies, processes, and use of CBO systems for consistency and efficiency in services provided to all CBO clients.
  • Supporting other related duties as assigned by Head of CBO.
