Job Summary:

Norges Vel Tanzania is seeking a dedicated individual with proven expertise in administration and accounting. The ideal candidate will have a keen eye for detail, a desire to learn, a penchant for maintaining structured processes, and a commitment to meeting deadlines. Reporting to the Country Manager for Norges Vel, the candidate will play a crucial role in supporting the Head of Finance and Administration.

Specific Roles:

  • Assist the Head of Finance and Administration in preparing payment vouchers.
  • Organize payment vouchers in respective files.
  • Prepare travel advances requests.
  • Support the Technical Team in preparing and compiling retirements.
  • Verify assets and conduct annual supplier assessments.
  • Manage the leave register.
  • Handle and support external auditors when required.
  • Purchase supplies for the office following office procedures.
  • Maintain updated contact information for NV-TZ suppliers and customers, ensuring confidentiality.
  • Provide logistic support and coordination for NV-TZ foreign visitors to Tanzania.
  • Assist Technical staff with clerical duties as requested.
  • Respond to calls, emails, and direct inquiries.
  • Check NV-TZ’s documents sent via postal address at least once a month.
  • Control and maintain the inventory of office supplies.
  • Control the logbook and maintenance of vehicles.
  • Control catering and cleaning services provided to Norges Vel Tanzania.
  • Coordinate periodic maintenance of IT equipment and other services to ensure smooth office operations.
  • Manage NV-TZ petty cash and prepare monthly reconciliations.
  • Keep documents, petty cash, and other valuables in the safe according to specific instructions.
  • Arrange, coordinate, and schedule meetings and travels.
  • Manage suppliers’ contracts.
  • Support in preparing meetings and events.
  • Perform other tasks assigned by the Country Manager.

Required Qualifications:

  • Diploma (or higher) in a relevant field; Accounts and Administration.
  • Minimum of 3 years of relevant experience.
  • Good knowledge of MS Office suite.
  • Valid driver’s license.
  • Strong communication skills.
  • Fluent in English and Swahili, both oral and written.
  • Experience working with online tools like Google Drive, OneDrive, Zoom meetings, Microsoft Teams, etc., is an added advantage.
