Insight management Tanzania Limited is recruiting on behalf of a client in the logistics industry for the following positions:
1.Port Clerk
Should be able to correctly and completely frame customs declarations of every regime.Should be conversant with the customs rules of classification. to monitor and control in-bound and out-bound Bonded Warehouse activity. To monitor and control all Customs Risks within the department. Record and or distribute shipments to agents. Verify client accounts Retrieve courier HVS (High-Value Shipment), record and or distribute. Generate billing invoices and or distribute them to clients.
Classify documents digitally and save them to the system Comply with the Client’s established procedures within required time limits, including ISO norms. Communicate, without delay, information or problems, to the immediate supervisor Other duties as assigned by the immediate supervisor MINIMUM QUALIFICATIONS & EXPERIENCE Diploma in Customs Clearing and forwarding / Logistics and Transport 5 years relevant work experience Excellent computer skills (word, excel, PowerPoint, internet) and database management. Fluency in English both written and spoken. Age limit: 25 and above
2.Operations Officer
Management of all Logistics and transit operations Review and improve operational processes Maintain and monitor daily workflow Meet set KPIs Allocate workloads within the team to ensure smooth operations during peak activity or staff absence Conduct customer service tasks, deliver customer satisfaction & guarantee quality operations Liaise with internal & external stakeholders to ensure the smooth running of operations Review & improve Import, Export and Customs operational processes Maximise efficiency and shipment profit Oversee all compliance issues Alert changes in customs & trade regulations, Nafasi za kazi Insight Management Tanzania Limited
Identify risks and mitigate the impact on operations and clients Report import and export transactions regularly in regards to customs broker activities, issues encountered and escalation Work with internal stakeholders to obtain information or data required for Import & Export Customs & Clearance activities Ensure Customs-related record keeping is met by internal and external stakeholders Process client requests or disputes Notify the MD of client shipments that exceed their credit limit Accounts payable Process supplier invoices to accounts Netting: Process overseas invoices to accounts Respond to netting queries Handle escalation, complaints & feedback
3.Customer Service Executives
Receive the transit orders from the client (tariffs already validated through a valid quotation). In case of new business (new or existing client), a new quotation will be issued by Sales department in accordance with company rules Ensure scope of work is related to quotation received Request missing documentation and more detailed instructions, if necessary, Inform client on files processing progress (standard or specific report, according to quotation) daily Alert the client in case of operational issue (potential or real) and provide solutions To check client status whether is COD (Cash of deliver) or has credit facility. If no credit, then the client must settle the payments in advance before starting clearance Provide support to credit control in case of cash collection issue Daily review of the business system tracking reports to ensure consistency and detect any anomalies which require correction / amendment.
4.Front Desk Representatives
Present yourself and Company in a positive and professional manner Address customer needs by promoting company’s options such as pricing, tracking of cargo and its alternatives Greet customers/members warmly and make them feel welcome Respond promptly (same day) to all voicemails and emails Timely follow-up (same day) to any outstanding customer or internal issues Complete daily, weekly, and monthly task checklists Process new client paperwork per checklist Be aware of the cargo schedule in case of customer Enquiries; Accurately capture and track all costs and expenses incurred during the life of the file Nafasi za kazi Insight Management Tanzania Limited
ensure supporting documentation to these costs are easily accessible in the file. Ensure to get clear confirmation of charges communicating with customers Ensure smooth coordination between the various team members within and external to the department Ensure the office is clean at all times by coordinating with the cleaning staff Schedule appointments for the Team Scheduling Travel Itinerary for the Team, If need be, you are required to update customer information in the system Get & know exactly the detail of quotation related to operations in progress.
