Executive Assistant at Alliance Life Assurance Ltd

We are currently seeking a highly motivated, experienced and organized Executive Assistant to join our Administration team and provide high-level administrative support to our CEO. This is an excellent opportunity for an individual who is detail-oriented, proactive, capable of handling a wide range of administrative and executive support tasks and is capable of managing confidential information with the utmost discretion. The position will be based in Dar es Salaam. Essential Duties and Responsibilities: As the Executive Assistant to the CEO, you will play a crucial role in ensuring the smooth functioning of the CEO’s office, responsible for providing comprehensive administrative support and contributing to the efficient functioning of the office.

Key responsibilities include

Calendar Management: Manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and coordinating commitments Communication: Serve as the primary point of contact for internal and external communications on behalf of the CEO. Documentation: Prepare and organize documents, reports and presentations. Analyzing and reading incoming memos for CEO’s review and distribution. Records and Archiving: Maintain an effective system ensuring that important documents are appropriately stored, cataloged, and easily retrievable. Establish protocols for document retention and disposal in compliance with company policies. Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items. Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation, ensuring efficiency and cost-effectiveness. Confidentiality: Maintain a high level of confidentiality and discretion in handling sensitive information. Task Prioritization: Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met and priorities align with the CEO’s objectives.

Qualifications and Experience Required:

Education: Bachelor’s Degree/Diploma/Certificate in Business Administration, Secretarial Studies, or a related field. Experience: Minimum of 3 years of proven experience as an Executive Assistant Skills: Strong organizational skills, time management, communication and interpersonal skills. Proficiency in Microsoft Office Suite and ability to learn new or updated software. Confidentiality: Demonstrated ability to handle confidential information with discretion. Adaptability: Ability to adapt to changing priorities and work well under pressure and multi-task Initiative: Proactive approach with a strong sense of responsibility and ownership. Ability to analyze the job and anticipate, decisiveness and emotional intelligence. Team Player: Ability to collaborate effectively with colleagues at all levels. Must comply with the policies and procedures of the company. Ability to portray high level of integrity and professionalism, including well-groomed appearance.
