Job title: Employee Relation Trainee
Location: Dar es Salaam
Employee Relations Trainee
Key responsibilities:
- Assisting the ER manager in ensuring compliance with all mandatory employee documentation and its proper storage in both physical and digital archives.
- Opening files for all new employees and ensuring that the required paperwork are available and uploaded into the system. This includes issuing identification cards to all TCC and JTILS workers.
- Assisting Business Partners and Line Managers in confirming new personnel following the successful conclusion of their trial period.
- On-time facilitation and support for important stakeholders in the personnel database to receive information or documents from the employee archive.
- Supporting employees in making system modifications and collaborating with GBS to raise tickets for employee relations issues.
- Working with the ER Manager to help line managers and employees comply with labor regulations, the JTI Code of Conduct, and the CBA.
- Maintaining accurate records of internal performance management actions such as disciplinary hearings and performance improvement plans (PIP).
- Work with the PR creator, vendors, and Finance to ensure that ER transactions are properly costed and paid.
- Champion communication of employees’ affairs, such as new hires and leavers, public holidays, yearly leave, etc.
- Working with Line Managers and Wellness Specialists to ensure that all employees’ sick leave/EDs are properly tracked and recorded in the system.
- Facilitate employee exits by issuing certificates of service and collecting all mandatory People & Culture items.
- Facilitating the Will project and ensuring that all TCC and JTILS employees draft and sign their wills.
- Supporting the ER manager in organizing Union meetings on a monthly or as needed basis.
- Acknowledge receipt (signing) to ensure that all workers have followed the Conflict of Interest and Code of Conduct policies.
- Administer the Long Service Award by providing timely notice and appreciation of honorees each year.
- To help employees, manage other allocated administrative responsibilities within the Employee Relations office.
- Other duties as given by the line manager.

Qualifications:
- A degree in law, industrial relations, or related fields
- Excellence in Microsoft apps.
- Experience with project management.
